PLEASE READ THESE INSTRUCTIONS – THEY ARE VERY IMPORTANT 

Dear Friends – Welcome to the Ilkley Complementary Medicine Festival

We have pleasure in enclosing our final instructions to standholders for the forthcoming Festival

on 7th  and 8th  April  2018.

PREPARATION TIME- We would ask that all standholders set up on the Friday wherever possible. The venue will be open from 3 pm until 7 pm. However, if anyone has a problem with this, the venue is open from 8am on the Saturday. It is vital that all stands are ready for business well before the opening time of 10am on the Saturday morning. The Festival is open to the public on both days from 10am to 5pm. the post code is LS29 8HD 

Help will be on hand on both days to assist with the unloading of items if you require assistance. Once you have unloaded your car, it would be helpful if you moved your vehicle to allow other exhibitors to park. Parking is very limited in Ilkley and I would suggest that you leave your vehicles on Wells Road where the HSBC Bank is situated. Please note: DO NOT put vehicles on the pavements as this causes inconvenience to neighbouring businesses and the public. DO NOT park in the pub car park adjacent to the Kings Hall as you will be clamped. Please be aware that there is a high level of TRAFFIC WARDENS in the town as well and certain areas have a 2 hour restriction.

If you have requested a power point, please remember to bring your own extension leads and adapters. All connections to main electricity for standholders must be via an earth leakage circuit breaker in order to ensure the safety of the public and staff. All cables must be secured and taped up to prevent slips, trips and falls. Any electrical appliances used should be in a good state of repair with no obvious defects. Remember to bring covers for your stand as well. The venue is well equipped with alarms. Goods left over night in the venue are at your own risk. However the venue doors have chains and iron grids.

No Blue Tak should be used on the venue fabric 

Rubbish is not to be left in the building under any circumstances.

All standholders attending the Festival must have a certificate of public liability insurance. All practitioners with certificates for the treatment must be available for inspection at any time during the Festival. Copies will be requested on the day. Please note: THERE IS A NO SMOKING POLICY in all areas of the building. No fly posting inside the venue. Please do not put leaflets on the tables upstairs in the Winter Gardens where the refreshments are served – they will be removed.

For standholders who are giving talks, there will be flipchart pads and marker pens available in each room.

New Information and Legislation regarding forthcoming events

In light of the disabled lift which has been installed it is NOT to be used for any other means but for the movement of disabled people between the two floors. It will be operated by the event staff employed by Bradford Council and access must be maintained at all times.

We are aware that the use of candles and incense sticks are a paramount part of the Festival. We are now obliged by Bradford Council and the Local Fire Officer to carry out a risk assessment of all stands that use candles, incense sticks and naked flames. COPIES OF THE RISK ASSESSMENT WILL BE MADE AVAILABLE ON THE DAY (if required).

WE ARE THEREFORE OBLIGED TO IMPLEMENT THE FOLLOWING:

  • A revised Fire Risk Assessment that all standholders are to have that use naked flames and comply with whilst on site.
  • Each standholder will ensure that they have a fire extinguisher / fire blanket of the kitchen type and size / or a bucket of sand within the confines of the stall. No candles or open flames are to be used on the stage.

Under no circumstances are stands to be packed away before 5pm on the Sunday.

Spring 2018 Saturday 7th April – and Sunday 8th April 2018

Autumn Complementary Medicine Festival

Autumn 2018 Saturday 22nd September – and Sunday 23rd September 2018

Please Note: Stands have already been booked for these dates so you are advised to book before the event or on the Sunday morning between 8.30am – 10am. Alternatively 4.30 – 6pm. To ensure that you have the stand you require at the next event all booking forms must be completed and deposits paid six weeks after the event. A £50 deposit is required when booking. Availability may be checked prior to the Festival by visiting our web site www.ilkleyfestival.co.uk. Stands cannot be guaranteed for the event if bookings are not completed.
